FAQs Before & After Care

We provide each service with a full time Director of Service to ensure quality, service excellence, fun and safety is delivered every day. This will be a teacher qualified (or equivalent) role, strongly supported by quality educators that are fun, friendly and engaging.
Low ratios of 1 educator for every 10 children, lower than any other service provider, increasing engagement, safety and overall level of care.

All educators have a working with children check (WWCC) or Victorian Institute of Teaching Registration (VIT) allowing them to work with children.

All programs are designed around our value of ‘Fun’, where we incorporate the interests, needs and development of each individual child, to provide superior experiences. Our resources and daily experiences, cater for the inclusion of each child to provide an environment which is adventurous, creative, inquisitive and promotes each child’s learning and development.
We have enriching environments that are clean, well-resourced, vibrant and safe with a variety of zones, stations and play areas promoting choice. These are set up daily and include, construction, dress ups, imaginative play, music, chill out zones. Where space allows, we provide table tennis, air-hockey or Table soccer.
We have an abundance of sporting equipment for child to play with each day, ensuring there’s always a chance to kick the footy or play some great games with friends.

TeamKids has a variety of clubs provided daily, which provides your child with an opportunity to have fun, with engaging activities guaranteed to make them want to come back for more. Some of our clubs include, Cooking, Craft, Dancing, Sports, Yoga and many more. Join us at the end of each term where each club provides something special for all families.

We provide healthy, nutritious and delicious food each morning and afternoon. Our healthy menus cater for food allergies, intolerances, cultural diversity and promote healthy eating. We promote child agency throughout our meal and snack times.
Seasonal fruit and vegetables are served throughout the session. Water and reduced fat milk are available at all times, with fruit smoothies provided on certain days.

Foods which are high in saturated fat, added salt and/or a combination of these, with little nutritional value are not provided.

Breakfast includes a choice of cereals: Weetabix, porridge, muesli (untoasted/natural), high fibre cereal flakes served with reduced fat Milk.
Selection of: Wholemeal/wholegrain toast and/or wholemeal/wholegrain English muffins and/or wholemeal crumpets and/or raisin/fruit bread with small amounts of assorted spreads (e.g. margarine, reduced fat cream cheese, Vegemite, 100% fruit jam).

A wholesome breakfast is available daily, such as; Scrambled eggs on wholegrain toast, Banana pikelets/pancakes with reduced fat yoghurt or Cooked tomato and mushrooms with wholegrain toast.

Afternoon tea includes milk, yoghurt, cheese and/or alternatives.
We have a selection of nourishing snacks which ensures your child is energised for the afternoon ahead, such as; Fried rice (brown rice, carrot, capsicum, spring onion, peas, corn, egg), Mixed sandwiches on wholegrain bread (egg and lettuce, tuna and tomato, chicken and salad).

All Prep, Foundation children will be taken to their classroom in the mornings and collected at the end of each day. We continue this throughout the year, and only in consultation with the parent and classroom teacher are children allowed to make their own way to and from the Before and After care service.

A hat is required when UV ratings are 3 and above, which in Victoria is usually September to April each year.

We encourage all families to register with TeamKids for Before and After care and so we do not charge an enrolment fee. We can only accept children that are fully registered with Team Holiday and have provided any required additional documents.

  • You can make bookings and Cancellations online up until 11:59pm the day before the session.
  • For any ‘on the day’ bookings or cancellations, please contact the service directly (contact numbers are listed on the TeamKids website).
  • In the event of a medical illness, please email a medical certificate to info@teamholiday.com.au before the charge date to receive no charge for the dates session.
  • Cancellations made within 48hours of the session starting will incur the normal fee as an allowable absence and will be charged accordingly.
  • There are no charges for cancellations made before the deadline.

For any bookings made within 24 hours of the session commencing an additional $5 late booking fee will be charged. This will be included in the attendance sessions total fee. To avoid late surges in bookings, we encourage families to book earlier so that we can staff, plan experiences and resource accordingly.

If your child/ren are collected after the service closing time, you will be charged a fee of $15 per 15 minutes or part thereof, per family.

You will be charged every 2 weeks in arrears for TeamKids’ Before and After Care’s fees via EziDebit. This will occur on the Wednesday after the fortnight’s care, following a statement forwarded to your nominated email address on the Monday

We charge a pro-rata fee for all end of term early finishes, these fees can be found on the booking calendar for your school.

FAQs Holiday Programs

When you’re booking into a venue that you haven’t attended before, you will first need to link it to your account. Start by clicking on the “Update Account Details” button in the top right corner of the Account Details section, then click the ‘add additional service’ tab at the top of the page.
Select the venue you wish to book into and click ‘add to service’. At this stage you’ll simply need to reconfirm your payment details for the new venue and you’re good to go.

Any time you need to change the venue you’re booking into, simply select it on the top left corner of the ‘edit bookings’ page.

To see daily costs click the ‘Choose Your Program’ button at the top of this page and then click the Fees tab. Please note that some days incur an extra fee for excursions or special activities that are happening on that day. All these extra costs are rebatable.
TeamKids processes all payments in advance the Thursday directly following the placement of your booking. The total amount shown on your statement will be deducted in full. All families must provide payment details within the online booking portal, which provides you with the option to pay fees via credit card or direct debit.

All payments are processed via Ezidebit and incur processing fees on top of your TeamKids program fees. Please ensure your account details are up to date and have sufficient funds to avoid an $14.80 dishonour fee charged by Ezidebit.Ezidebit fees are:

  • $0.88 per Direct Debit transaction, or
  • 1.87% per Visa/Mastercard transaction (minimum $0.88)

There could be a number of reasons why your CCB/CCR entitlements are not being applied. It’s important to make sure that both the CRNs and the dates of birth are correct for the primary contact and for your child. (Please note that each person should have a unique CRN). If you update these details, it will take overnight for any CCB/CCR to be applied in the system. If your details are correct and you’re still not receiving your entitlements, please contact Centrelink’s Family Assistance Office on 13 61 50 for further assistance.

At TeamKids we think more kids equals more fun, so we provide a discount for multiple children on a single booking. The multi-child discount amounts to $2.00 for each additional child. The discount will be deducted from your daily fee at the following rates:

  • 2 children: $1.00 each
  • 3 children: $1.33 each
  • 4 children: $1.50 each
  • 5 children: $1.60 each

All TeamKids programs and activities are conducted by appropriately qualified, specialist staff who all hold current working with children and first aid certificates. Ongoing policy training and professional development is supplied to staff, and regular performance reviews and informal appraisals are conducted. Your child’s safety, enjoyment and wellbeing are our number one priority. State legislation and the TeamKids Child Protection Policy states that all staff working with children complete criminal history check and obtain a Working with Children Certificate.

TeamKids prides itself on having very low children to staff ratios. We ensure a maximum ratio of 10 children per staff member. The ratio is even lower for any swimming activities and excursions depending on the age of each group.

  • Arrive between 8.00am – 9.30am unless otherwise specified on the timetable.
  • On excursion days, we require all children to be signed in by 9.00am.
  • Pickup anytime after 4:00 pm until closing time.
  • Please note that any child/ren picked up after closure time will be charged at a rate of $15 per 15 minutes or part thereof per family.

During a regular school term, TeamKids is contactable from 9am-5pm AEST, Monday to Friday.

During the school holidays (excluding Public Holidays) you can catch us any time between 7:00am-6.30pm AEST, Monday to Friday

  • A healthy lunch should be packed every day, including fruit. Our programs are very active, so make sure that sufficient food, high in sustenance is provided. We promote healthy eating habits
  • Sunsmart clothing, a named hat, and sunscreen are compulsory for all outdoor activities
  • A named water bottle
  • A sun-shirt is compulsory for outdoor swimming and water activities
  • Swimming Form if swimming is part of the daily program you have enrolled in
  • If your child requires them, a Risk Minimisation Plan and Medical Action Plan must be provided to staff on your child’s first day of attendance
  • If applicable, Court Orders and similar documents must be provided on or before your child’s first day of attendance

TeamKids flags will guide you from the front gate of your venue to the sign-in area. It is a legal requirement that a parent/guardian or nominated contact signs each child in and out every day. To save you time, please ensure all required paperwork (medical/swimming forms) are completed prior to arrival and brought with you on your child/ren’s first day. Activities will continue as best we can regardless of the weather. If inclement weather affects the daily running of the program, a decision will be made by the relevant staff to change the theme. Should an activity not go ahead, refunds will be applied wherever suitable, minus any expense incurred by the cancellation by any third parties, but not for the day’s care

All children must arrive before 9:00 am to ensure they do not miss any excursion. We will generally arrive back no later than 4:00 pm unless otherwise stated on the timetable. All children attending our program come along on the excursion; we do not provide an alternative to the excursion. If children do not want to participate in a part of the excursion (e.g. ice skating) and would prefer to just watch from the side, that is fine. We pride ourselves on excellent student staff ratios and decrease ratios to around 1:8 during any outing. Additional excursion forms are not needed as the online booking form includes your authorisation within the terms and conditions.

Should your child have any food allergies, please ensure you inform staff upon arrival. If your child has anaphylaxis or asthma, you must bring your anaphylaxis action plan and any medication necessary. If this is not provided, we can not care for your child.
We encourage all families to be mindful of potentially dangerous foods when packing your child’s lunches as we sometimes have children who have allergies or anaphylaxis in our care. These allergies can be caused by NUTS, SHELLFISH, SEEDS, KIWIFRUIT & EGGS. We therefore ask you to avoid bringing any of these foods or foods containing these products to the program.

TeamKids provides a healthy morning and afternoon tea consisting of cut up seasonal fruit and dry biscuits with dips or spreads. If your child has allergies to any of these foods, please inform us in writing beforehand and inform the coordinator upon arrival each day.

Please do not pack any money for lunches or gift shop purchases.

Should your child have any learning, behavioural or diagnosed difficulties, you will be asked via the online form when booking. Please note that if your child requires an extra staff member to help them enjoy their time with us, we require at least four weeks notice to apply for additional funding.

When you’re booking into a venue that you haven’t attended before, you will first need to link it to your account. Start by clicking on the “Update Account Details” button in the top right corner of the Account Details section, then click the ‘add additional service’ tab at the top of the page.

Any time you need to change the primary contact for your child, you will need to contact us directly at head office by calling 03 9532 0366. Please note that in order to claim the CCB/CCR rebate, the primary contact will need to be the person who is linked to your children through Centrelink.

You can find your statement in the Fully Booked system under the section labelled ‘Statements’. All statements are automatically updated so you can get an up-to-date snapshot of your account at any time.

Sometimes Centrelink readjustments can cause corrections to be made to your Child Care Subsidy entitlements, which in turn can result in extra money owing for dates attended in the program.   • To provide clarity on how things are labelled on your statement, here are some common things to take note of:
  • Negative figures: When your TeamKids account is in credit, your statement will show as ‘-$X.XX’. Credits are automatically deducted from amounts owing.
  • Paid but didn’t attend: Unfortunately when given less than twenty-four hours notice for cancellation, you will still incur full fees for the given day.
  • Statement shows less than I was charged: TeamKids will only ever charge the amount noted on your statement. Our payment provider EziDebit charges its own individual fees.
  • Our payment provider EziDebit has two separate fees that may be applied to your account:
  • If you’re paying via direct debit, you will be charged $0.88 on top of your TeamKids fee.
  • If you’re paying by VISA or MasterCard, you will be charged an additional 1.87% on top of your TeamKids fee (minimum $0.88).

Payments will be deducted each Thursday via your nominated credit card or bank account details starting from Thursday 31st May 2018. All Early Bird Payment Plans MUST be paid in full prior to the full program commencing, making Thursday 21st June 2018 the last payment date for instalments. All funds must be cleared by the final payment date of Thursday 21st June 2018.

If any additional days are booked, or you want to cancel some bookings, your payment plan will need to be recalculated, based on the remaining fees to be paid and the number of weeks left before Thursday 21st June 2018. Please contact us to inform of any additional bookings or cancellations.
Please note that our late booking fees and cancellation policy still apply to payment plans.

If a payment declines e.g. due to insufficient funds, please note that your scheduled payment the week following, will be doubled to balance the declined and the current week’s instalment. Once payment is successful the weeks following will stay as originally agreed in your payment plan.

If you have 2 consecutive failed payments, as per our Terms and Conditions, your held bookings will be cancelled. If you have had successful payments prior to failed payments & bookings being cancelled, any cleared funds will be held on your TeamKids account as a credit for future bookings.
